NetClose - Lock Transactions & Account Segments
Overview
Within Close Management, users can lock their general ledger by subsidiary, transaction type, user, role, segment, and more. Because month-end close activities often span days or weeks, portions of the general ledger may be reconciled and finalized ahead of others. Close Management allows teams to lock these completed areas, helping ensure that balances remain unchanged throughout the close process.
NetSuite Locking Precedence
Please note that the NetClose Lock Transactions and Account Segments feature cannot override native NetSuite locking functionality. If the NetSuite period is locked, NetClose has no control over the period.
When the NetSuite period is open, the Lock Transactions and Account Segments functionality can lock down sections before locking the entire NetSuite period or act as a safety mechanism when NetSuite periods are unlocked for temporary edits.
System Settings
Under NetClose > Setup > System Setup > System Features, you'll find optional settings related to Close Control.
| Auto Post in Next Open Period | Checking this box will allow transactions that would be prevented by the close control feature to instead post in the first unlocked open period. |
| Lock Records On Create | Checking this box will make the transaction locking feature only trigger when creating records and not when editing them. |
| Trigger Lock On Execution Type | Selecting an execution type sets the locking script to only trigger if executed by one of the selected types. Selecting "USER INTERFACE" will set the locking scripts to only run if triggered through the user interface. If there are no selections made, the locking script will run normally. |
| Locking by Customer, Vendor, or Accounting Book | Checking these boxes will enable you to lock transactions by Customer, Vendor, or Accounting Book. |
| Tiered Locking | Checking this box enables tiered locking. (e.g., if you locked Subsidiary 1 and Journal Entries for a period, only transactions in Subsidiary 1 and journal entries would be prevented. If you posted a journal entry to Subsidiary 2, this entry would post.) |
Step-by-Step Process
- Navigate to NetClose > Close Management > Lock Transactions & Account Segments.
- Filter for Accounting Period and select what you are locking by (Subsidiary, Transactions Type, User, Segment, Etc.).
- Make selections and select 'Submit' at the top of the page.
