NetLease - License Usage Info

Overview

The NetLease Usage Statistics feature allows you to view the number of leases currently in your account compared to the maximum number allowed under your license. This information is available directly within NetLease >NetLease Setup > System Setup, under the Licensing tab. It provides transparency into your license limits and helps you know when you will need to purchase an additional band of leases.

Key Assumptions

  • You have access to NetLease >NetLease Setup > System Setup.

  • Your NetLease license is active and correctly synced with the latest data from Netgain.

Step-by-Step Process

  1. Navigate to System Setup
    Go to:
NetLease > NetLease Setup > System Setup

  2. Open the Licensing Tab

    • Click on the Licensing tab within the System Setup page.

  3. View Usage Information
In the Usage Info section, you will see:

    • Tier Max – The maximum number of leases allowed under your current license.

    • Leases Towards Tier Max– The number of leases that currently count towards your tier max.

  4. Understand What Counts Towards the Tier Max

    • Included: Pending, Commenced, Pending Renewal, and Pending Closeout leases.

    • Excluded: Complete and Terminated leases.

  5. Note on Demo/Sandbox Accounts

    • Demo and sandbox accounts do not have a tier limit and can hold an unlimited number of leases for testing purposes.

  6. Sync License Data (If Needed)

    • Normally, license data syncs automatically overnight.

    • If the numbers appear incorrect or outdated, click Sync License to refresh with the latest data from Netgain.

Limitations / Things to Be Aware Of

  • License usage statistics apply only to production accounts.

  • License sync failures may cause outdated counts — use the Sync License button to update immediately.

  • Exceeding the tier max will require an upgrade through your account manager.

Troubleshooting

  • Usage numbers look incorrect

    • Click Sync License to refresh data.

    • Confirm the lease statuses of your records — ensure the count aligns with included/excluded categories.

  • Need more leases

    • Contact your account manager to request an increase to your license tier.
