Shared Payments - Sourcing Due Dates and Payment Terms

Overview

Shared Payments automatically sources the Due Date and Terms from the originating transaction and applies them to the associated Shared Payments Journal Entry. NetSuite payment screens can be customized to display these fields to facilitate the identification of due Shared Payments Journal Entries. The walkthrough below explains this process in detail.

Step-by-Step Instructions

The following instructions outline how to verify that the Due Date and Terms fields are properly sourcing on the Shared Payments Journal Entry and how to customize the payments screen to display the new fields. 

Sourcing the Fields

  • Refer to the Generating Shared Payments Journal Entries section of the Paying Bills on Behalf of Another Subsidiary article to apply a Shared Payments Subsidiary to a bill. When doing so, ensure that the Due Date and Terms fields on the bill record are populated correctly:

  • If Shared Payments is configured correctly on the bill, the Due Date and Terms fields should automatically populate on the resulting Shared Payments Journal Entry. These values can be found under the Custom subtab of the Shared Payments Journal Entry, in the Shared Payments Due Date and Shared Payments Terms fields:

  • This information may be used as context when applying payments, once the payments screen is properly configured.

Customizing the Payments Screen

  • Navigate to Transactions > Payables > Pay Single Vendor
  • Under the Apply subtab, select Customize:

  • On the next screen, additional columns can be added to the payments screen. To include them, select the checkboxes next to the Shared Payments Due Date and Shared Payments Terms fields:

  • On this same screen, additional filters can also be added. To do so, select the Additional Filters sublist at the top of the screen, then select the checkboxes next to Shared Payments Due Date and Shared Payments Terms:

  • After selecting all desired additional columns and filters, click Save.
  • Now, on the Bill Payment screen, the Shared Payments Due Date and Shared Payments Terms filters can be used to locate the appropriate invoices for payment application.
