NetCash Release Notes - Version 2025.2.51
Highlights

Update Automation Rules with Grouping
Who’s affected: Users with GL Match automation rules using the Grouping feature that don’t want matches across transaction types
What to do: Add “Record Type” to your Rule Filter settings
Why: GL Match grouping now applies across transaction types. A rule can find a journal entry and a deposit and match them to one bank transaction. Adding “Record Type” to your filters preserves your existing grouping behavior and prevents unintended mixing of transaction types.
How to update:
Go to NetCash → Setup → Automation Rules
Edit each rule using Grouping
In “Filters” add “Record Type” to your existing selections

Custom Transaction Types & Approvals
Custom Transaction Types
What it does: Introduces NetCash Journal Entry and NetCash Transfer transaction types with Pending Approval, Approved, and Rejected statuses
Why it matters: Keeps NetCash-generated transactions distinct from standard NetSuite entries for clearer audit trails and approval routing
Transaction Approval Workflow
What it does: Review and approve NetCash-generated transactions before they post to the general ledger
Why it matters: Adds a control layer so designated approvers can validate automated transactions before they affect your books
How to use: Navigate to the “Approve NetCash Transactions” screen. Filter by transaction type, GL account, date range, or subsidiary, then approve or reject transactions individually or in bulk.
Approver Authorization
What it does: Configure which users can approve NetCash-generated transactions in Global Settings
Why it matters: Supports segregation of duties by ensuring only designated users can approve transactions
How to use: Go to NetCash → Setup → Global Settings → Transaction Preferences to designate approvers
Automation Rules
Batching Created Transactions
What it does: Group multiple bank activities onto a single journal entry when creating transactions from automation rules
Why it matters: Reduces the number of transactions requiring approval and streamlines workflows
How it works: A new “Batch Type” field on transaction rules lets you batch bank activities onto a single journal entry—grouped by merchant, date, or both. Each bank activity maintains its own cash and non-cash account lines.
Transaction Preview for Create Transaction Rules
What it does: Review and validate transactions generated by Create Transaction automation rules before they are created
Why it matters: Catch issues and resolve conflicts before transactions are posted
How to use: Navigate to the Transaction Preview page from the automation rules area. Indicators show how many rules match each transaction and flag potential conflicts. Rules set to Testing status are also included in the preview.
Rule Execution Order with Drag-and-Drop
What it does: Define the order in which automation rules are evaluated using a drag-and-drop interface
Why it matters: Gives you control over which rules are evaluated first when multiple rules could match the same bank transaction
How to use: On the Automation Rules page, click Enable Adjust Order to enable execution order mode. Drag and drop rules within each type to set your preferred sequence. Rules are evaluated in this priority: Create Transaction → GL Match → Cash Application → Create Transfer.
Date Tolerance Matching
What it does: Automation rules can match transactions within a configurable date range—forward, backward, or bidirectional
Why it matters: Handles timing differences between bank transactions and GL entries without manual intervention
How to use: Configure the date tolerance field with a direction prefix: +5 matches up to 5 days after the bank activity date, -5 matches up to 5 days before, and 5 matches in either direction. A new “Date Field” setting lets you choose whether to match on due date or transaction date.
Auto-Match Grouping Across Transaction Types
What it does: Groups different transaction types (vendor bill payments, journal entries, etc.) into one match using GL Match Automation Rules
Why it matters: Reduces partial matches when one bank transaction covers multiple activities
Example: A single bank withdrawal covering both vendor bill payments and a journal entry appears as one match
Custom Body Field Filters
What it does: Use custom body-level list and record fields as filter criteria in automation rules
Why it matters: Enables more precise rule targeting based on your organization’s custom transaction fields
Journal Entry Form Preferences
What it does: Set default journal entry forms for rounding, bank transactions, and credit card transactions in Global Settings
Why it matters: Reduces manual form selection and improves consistency across teams
How to use: Go to NetCash → Setup → Global Settings → Form Preferences. Select your preferred journal entry form for each category. If no defaults are configured, existing behavior is preserved.
Cash Application & Matching
Invoice and Credit Memo Application
What it does: Select invoices and credit memos together for Cash Application on the Manual Match Page
Why it matters: Accelerates the Cash Application process for invoices and credit memos that should be associated
Expense Report Support in Cash Application
What it does: Process expense reports through both Cash Application automation rules and the manual match queue
Why it matters: Enables standard employee reimbursement workflows where bill payments are created from expense reports
High-Volume Cash Application Processing
What it does: Cash applications can now be run across more than 15 vendors or customers
Why it matters: Supports billing systems that withdraw or deposit lump sums relating to many vendors or customers
How it works: When processing more than 15 entities, the system delegates to background processing and displays a notification. Results are available once processing completes.
Segment Sourcing for Cash Application Payments
What it does: Cash application rules source segment body fields from the original transaction when creating payment records
Why it matters: Payment records inherit Department, Class, Location, custom segments, and Memo from the source invoice or bill without manual entry
Project and Job Sourcing
What it does: Projects and Jobs are now available as a sourcing segment option in Cash Application rules
Why it matters: Enables project-level tracking on payment records created through Cash Application
Improvements
Cash Application & Matching
Multi-currency support: Apply cash from a bank transaction in one currency to an open bill or invoice in another currency
Multi-currency visibility: Transaction dialogs now show transaction currency, foreign amount, and exchange rate when applicable for clearer reconciliation context
Clearer credit memos: Credit memo amounts display as negative on the cash application page for clearer running totals
Manual matching experience: Smoother selection changes with faster running totals. If background caching is interrupted, a non-blocking info message appears and you can continue working.
Matched/Unmatched filters: More accurate filtering that handles edge cases more reliably on the Bank Activity Report
Automation rule matching: At least one user-specified criterion is now required when “require all criteria” is not enabled, reducing false matches
Automation Rules
Default offset account: Auto-create uses the offset account from the bank account if a rule doesn’t specify one
Check entity validation: If a check doesn’t have a customer/vendor, you’ll get a clear message and can fix it right away
Safer bulk creation: Bulk create excludes bank items dated before your bank account cutover date to prevent accidental posting
Reporting & Visualization
Bank Account dashboard: View cash balances by bank account for any given day using a new “To Date” filter, and export data to Excel
Enhanced report filtering: New “Include Offset Account” filter option and date range filtering for non-cash account reports
Direct Cash Flow report: More accurate beginning balances and cleaner grouping. The “Difference” figure now aligns with what’s on the page and what you export.
Currency badges: Exchange rates and currency symbols visible on the Review Matches page for cross-currency cash application
User Interface & Experience
Status messages: Clearer error messages when a match or transaction fails to create on the Manual Match Page
Bug Fixes
Fixed: “Bank Account” column no longer disappears on the Manual Match page after selecting bank accounts on the Auto Match page
Fixed: Automation rules with multiple groups can now be created without needing to save with a single group first
Fixed: Cash Application page now loads open bills and invoices correctly when navigating directly, without requiring a visit to Bank to GL Match first
Fixed: Auto-create rules check for an offset GL account and give a clearer error when the account is not available in specific subsidiaries
Fixed: Transaction memo not defaulting from bank activity description for rounding journal entries when using Cash Application
Fixed: Rounding journal account details now properly fall back to the offset line detail when both the default value and bank line value are unavailable
