NetClose - Task Dependencies

Overview

Task dependencies allow you to limit the progress of one task based on the status of a different task. For example, you may want Task 1 to be approved before Task 2 can be commenced. Another example, you may want to prevent Task 2 from being submitted for approval before Task 1 has been approved. With NetClose Task Dependencies, you can easily set up these relationships amongst tasks and bring more structure and order to your close process.

Step by Step Process

Add Dependencies Manually

Navigate to NetClose > Lists > Tasks and change your view to Close Task Templates Only.  It is important that you add the dependency to the task template itself, so that the dependency is included in any task generated from the template. Select Edit on the close task template for which you would like to add a dependency and select the Dependency subtab.

From here, you can add as many dependencies as desired by filling out the fields outlined below.

NameDescriptionExample
Limit Task StatusThis limits the progression of the status of the current task. Please select the status of the task that should be limited and dependent on another task.Working On It
Dependent TaskThe task that is selected here will be the one that limits the progression of your task.Add Asset Modifications
Dependent Task StatusPlease select the status of the limiting task that will allow the progression of the limited task.Complete

Once you have finished setting up your dependencies, go ahead and save your changes. The next time this task is generated, the dependencies will be included on the task.

Add Dependencies via CSV Upload

When adding several dependencies at once, it is most effective to add dependencies via CSV upload.

First, fill out all required fields in the NetClose Task Dependency template, as outlined below.

Column NameRequired/OptionalExampleDescription
Task NameRequiredRun DepreciationList the name of the task whose status you want to limit based on another task's status.
Task Internal IDOptional5Internal IDs are not required for CSV uploads, but they do facilitate the process, as task names can often be misspelled.
Limit Task StatusRequiredSubmitted for ReviewThe limited task will not be able to progress to this status unless the dependency is fulfilled.
Dependent TaskRequiredAdd Asset ModificationsList the name of the task that will be limiting the status of the task listed above.
Dependent Task Internal IDOptional3Internal IDs are not required for CSV uploads, but they do facilitate the process, as task names can often be misspelled.
Dependent Task StatusRequiredCompleteSelect the status of the limiting task that will allow the progression of the limited task.

Save your file as a CSV, then navigate to the Import Assistant via Setup > Import/Export > Import CSV Records. For Import Type, select Custom Records, and for Record Type, select NetClose Dependent Task. Then, select your CSV file.

On Import Options, select Add to add new dependencies. Select Update if updating existing dependencies.

On Field Mapping, ensure all fields from your template are mapped to the corresponding NetSuite field. You need to map either Task Name or Task Internal ID but you do not have to map both. It's recommended to use Internal ID's where possible. When using Internal IDs, ensure you change the reference type to Internal ID by selecting the pencil icon.

Follow the prompts to finish the upload.

Once finished, you can review dependencies on individual task records (NetClose > Lists > Tasks) under the Dependency subtab. Alternatively, you can review dependencies via the Task Dependency & Status Report (NetClose > Reports > All Reports > Task Dependency & Status Report).
