NetClose - Deleting a Task Template

After creating a task template, you may decide that you no longer need to include this task in your monthly close. To avoid this task being generated in your next close, we recommend you do one of two things. Either you can inactivate the task template or you can delete the task template.

Inactivating a Task Template

Inactivating a task template can be a good option when you do not want to fully delete a given template. By inactivating a template, it will no longer show on the 'Generate Close Tasks' page and so you can be sure that no task will be generated from this template. Additionally, unless the 'Show Inactives' box is checked, the task template will also not show on the task list when navigating to NetClose > Lists > Tasks and changing the view to  'Close Tasks Templates Only.'

To inactivate a task, click 'Edit' next to the task template. Once on the edit page, navigate to the 'System Notes' subtab. Here you will find a box labeled 'Inactive.' To inactivate a task, ensure this box is checked and the task is saved. Once saved, it will not show on your task list anymore (unless you have 'Show Inactives' enabled) and it will not show on your 'Generate Close Task' page.


Deleting a Task Template

The easiest way to fully delete a task template is by navigating to the template you want to delete and click 'Edit.' Once you are on the edit page, you need to click on 'Actions' and then on 'Delete.'


Every time you generate a task from a task template, you are creating a dependent record. If a task template has dependent records, these dependent records need to be deleted first, in order for the task template/parent task to be deleted.

If no task had ever been generated from your template (it does not have any dependent records), the task will delete permanently once you select 'Delete'. However, if this template had generated close tasks in the past, you will receive the error message below. This is because the system cannot delete the task template/parent task, as dependent records exist. Dependent records are the close tasks that had been generated from this task template. You can view the task template's dependent records by clicking on 'dependent records' in the error message which acts as a hyperlink. You will then see a list of the dependent records. By clicking into each of the dependent tasks, you will then be able to delete them one by one.

Another way you can view all your dependent records is by navigating to NetClose > Lists > NetClose and by switching to the 'Default' view. This will show you a list of all task templates and all dependent tasks. By clicking 'Edit' on a dependent task, you will then be able to click on 'Actions' and 'Delete' to delete the dependent record. 

Once all dependent records have been deleted, you will then be able to delete the parent task template.
