NetCash Importing statement balances from a CSV
Overview
If you reconcile many bank accounts each period, typing every statement ending balance on the Reconcile page takes a while. NetCash can import the balances from a CSV file instead. It creates or updates one reconciliation for each account and statement date in the file, so you can set up a whole month-end in one upload.
The import is on the same page as the bank transaction CSV import (NetCash > Setup > Import Bank Activity). Select the Statement Balances tab to import balances.
Prerequisites
- The bank accounts are already set up in NetCash.
- The user's role has at least View on the NetCash Bank Account and NetCash Bank Transaction records and Create and Edit on the NetCash Reconciliation record. See NetCash Roles and Permissions.
CSV format
The file needs three columns. NetCash auto-maps columns with common header names (for example Account, Bank Account, Date, Statement Date, Ending Date, Statement Balance), and you can change the mapping on the page.
| Column | Required | Description |
|---|---|---|
| Account | Yes | The NetCash bank account name or internal ID as per the bank account record. To access the full bank account records including internal IDs, search Page: NetCash Bank Account in your global search and reference this list. |
| Date | Yes | The statement ending date. It must match the Date Format you select on the page. |
| Statement Balance | Yes | The ending balance from the bank statement. |
Example file:
| Account | Date | Statement Balance |
|---|---|---|
| Operating Checking | 09/30/2026 | 62302.48 |
| Operating Checking | 10/31/2026 | 58110.05 |
| Corporate Card | 10/31/2026 | 5559.48 |
Each line must be unique
Each line must be a unique combination of account, date, and statement balance. The same account can appear on more than one line when the date and balance are different, as in the example above. If the same account and date appear with two different balances, NetCash shows an error and does not import the file until you fix it. Identical duplicate lines are treated as one.
Step-by-step process
- Go to NetCash > Setup > Import Bank Activity.
- Select the Statement Balances tab.
- Select the Date Format your file uses.
- Upload the CSV file by dragging it onto the page or browsing for it.
- Confirm the Account, Date, and Statement Balance columns are mapped.
- Click Import.
- Review the results. Each line shows its result and a link to the reconciliation.
What happens to each reconciliation
| Situation | Result |
|---|---|
| No reconciliation exists for the account and date, and the statement balance matches the balance NetCash calculates from your bank activity | NetCash creates the reconciliation and submits it for review if the account has reviewers, or completes it if not. |
| No reconciliation exists, and the balances do not match | NetCash creates the reconciliation as In Progress with the statement balance filled in. Open it on the Reconcile page to find the difference. |
| An open reconciliation exists for the account and date | NetCash updates it with the imported balance, using the same rules as above. |
| The reconciliation is already submitted for review or complete, with the same balance | No change. |
| The reconciliation is already submitted for review or complete, with a different balance | The line shows an error. Reopen the reconciliation first if you need to change the balance. |
Importing the same file again is safe. It does not create duplicate reconciliations.
Troubleshooting
| Message or symptom | What to check |
|---|---|
| Account was not found | The Account value must match a NetCash bank account name or internal ID. If your role has bank account restrictions, you can only import for accounts you can see. |
| Account is reconciled together with other accounts | The account belongs to a group that shares one GL account. Use the GL account name with the combined balance. |
| Invalid date | The date does not match the Date Format you selected, or it does not exist (for example, February 31). |
| Invalid statement balance | The balance is not a number. |
| Already complete with a different balance | Reopen the reconciliation, then import again. |
Lines with errors do not stop the other lines in the file from importing. Statement balance imports also appear on the Bank Imports Report with the import type Statement Balances.
