NetCash Manual Match
Overview
Bank transactions can be matched to GL transactions using automation rules, however, some transactions are not recurring or regular and will require a manual match to identify and complete the match.
Navigation
Navigate to NetCash > Bank > Manual Match
There are several tasks that can be completed from the Manual Match page. Each is described in more detail below.
Column Preferences
Users can change the columns included in the view on the Bank and GL sides of the page using the preferences button in the top right corner. The walkthrough below explains how.
Searching for transactions
The text search bar accepts the following search operators:
'=', '<', '>', '<=', '>=', and 'Between... and...'.
Bank to GL match
Listed is the Bank Activity on the left and the GL Transactions on the right. Select one or more transactions to match between the two lists.
Then, select Match.
Once matched, the selected transactions will be removed from the screen. You can review the match on the Match History page.
Create transactions from bank activity
There may be bank activity that should have a GL transaction which has not yet been created in the system.
To create this GL transaction, select the relevant bank activity from the list and select Create Transaction
A transaction form popup will appear.
On this form, fill out the following:
| Field Name | Required | Description | Example |
| Type | Yes | Select the type of transaction to be created. | Journal |
| Entity | No | Select the entity that this transaction should be tagged to. | AA Becca Smith (Universal) |
| GL Offset Account | Yes | Select the GL account that this transaction should offset to. | 1090 Undeposited Funds |
| Line Memo | No | Identify the memo that should appear on the lines of the transaction. | NetCash Bank Match Create Transaction |
| Body Memo | No | Identify the memo that should appear on the body of the transaction. | NetCash Bank Match Create Transaction |
| Department | No | Enter the department that should be used for the bank account or for the offset account. If specified on the Bank Account Record, it will auto-populate on this form. | Administration |
| Class | No | Enter the class that should be used for the bank account or for the offset account. If specified on the Bank Account Record, it will auto-populate on this form. | Class - A |
| Location | No | Enter the location that should be used for the bank account or for the offset account. If specified on the Bank Account Record, it will auto-populate on this form. | Salt Lake City |
(Optional) Selecting the NetSuite Form View button will switch the form to the native NetSuite form view.
If the Bank Line GL Account or Amount is changed, then the transaction that is created from the NetSuite Form View will not be matched to the Bank Transaction selected on the Manual Match page.
Once all the desired fields have been entered, select Create.
To review the created transaction, navigate to the Match History page.
Bulk-create transactions
Users can also create a NetSuite Transaction from multiple NetCash Bank Transactions at the same time using the Bulk Create Transaction Page. The walkthrough below demonstrates that process.
Cash application
Using the lists of Bank Activity, there may be a bill payment or deposit that has not been created in NetSuite and therefore, there is no matching GL transaction for the bank transaction
To match to bills or invoices that do not have payment information created in NetSuite select the Cash Application button.
On this screen, the user can select the bank transaction and the corresponding non-cash GL transaction. NetCash will then create the necessary cash GL transaction and match it to the selected bank transaction. To do this, select the bank and non-cash GL transaction and select Match.
If there is an amount variance between the two transactions, NetCash will ask the user how to treat the variance.
To review the match and the created payment, navigate to the Match History page.
Applying cash where vendors or customers are different
Users can apply cash from bank transactions to GL transactions that have different vendors or customers. To do this, the amount applied must match the amount of the GL transactions exactly, the GL transactions must all be in the same subsidiary as the bank transaction, and the transactions must all be from customers or vendors, not both.
Bank transfers
If there is movement between bank accounts, this can be reconciled by selecting Bank Transfers.
Once the screen has refreshed, the screen will now show bank activity on both sides.
Filter by the applicable bank accounts, find the corresponding bank transfer transactions between the two bank lists, select the transactions, then select Book Transfer.
A transfer journal is booked by NetCash. Where the transfer is between two different subsidiaries, an intercompany journal is booked.
To review the created transfer, navigate to the Match History page.
Troubleshooting
A bank transaction is missing from the Manual Match page
- Check whether it is already matched. Matched transactions leave the Manual Match page. Go to NetCash > Bank > Match History and search for the transaction. If it is there, it was matched by an automation rule or an earlier manual match, and you can unmatch it from Match History if it was matched in error. See NetCash Match History.
- Confirm the transaction is dated on or after the cutover date and that the bank account has a cutover date. NetCash excludes transactions prior to the cutover date.
- Confirm the NetCash bank account has its GL account mapped. An account without GL details does not show on the Manual Match page.
The page loads slowly or never finishes loading
This usually happens on GL accounts with a high volume of transactions, because the GL side runs a live query. Try these in order:
- Narrow the date filter to the period you are matching, instead of a range that spans several months.
- Select the preferences button in the top right corner of the Manual Match page, go to Performance, and turn off Deposit Entity Look up. Reload the page. This fixed endless loading for clients with thousands of multi-line journal entries on a single GL account.
- Check the Match Query Volume setting under NetCash > Setup > System Setup. It sets how many transactions the Manual Match and Review Match pages load (5,000 by default). A higher value shows more transactions but slows the page, so raise it only if you need to match more than 5,000 at a time. See NetCash System Settings.
- If the page is still slow after these changes, see NetCash - Tips and Troubleshooting for next steps.
