NetAsset - Asset import converter tool

Overview

The Asset Import Converter is an AI-assisted tool that turns a fixed-asset file from any source into an asset CSV that is ready for the Netgain Data Import Wizard. Users upload an Excel or CSV file with their own column headers and formatting. The tool proposes a mapping from each source column to a NetAsset asset field and cleans the values: currency amounts, dates, useful lives, yes/no flags, and list values such as Asset Type and Subsidiary. Users review and approve the mappings before exporting the result or sending it straight to the Data Import Wizard.

The tool automates the manual column mapping and value transformation that are usually needed when migrating assets from another system, which reduces hours of spreadsheet work to a few minutes of review.

The tool has three stages:

StagePurpose
1. Setup & uploadSelect the import method and cutover period, if applicable, then upload the file
2. ReviewReview and override the column mappings, preview cleaned rows, and review flagged issues
3. ApplyDownload the mapped CSV or continue in the Data Import Wizard

Key assumptions

  • Each row in the source file is one asset.
  • The Asset Import Converter only prepares data. Asset records are created in NetSuite only after the output is imported through the Data Import Wizard.

Prerequisites

  • NetAsset is installed and the Netgain Data Import Wizard is deployed in the account.
  • The accounting periods, Asset Types, and Subsidiaries that the source file references already exist in NetSuite.
  • The source file is in .xlsx, .xls, or .csv format.

Step-by-step process

Open the tool

  1. Navigate to NetAsset > NetAsset Setup > System Setup.
  2. Click the Import Tools tab.
  3. In the Wizard section, click Tool Link under the Asset Import Converter.

Stage 1 - Setup & upload

  • Under Set up the import, select one of the following Import methods:
    • Historical - keep original schedule
    • Cutover - pick up where the old system left off
  • If Cutover is selected, select the Cutover period from the dropdown. Each asset's remaining useful life is calculated as of this period. The field is not used for Historical imports.

  • Scroll down on the Setup & Upload page to drop the file (.xlsx, .xls, or .csv) into the Upload your asset file box, or click the upload area to browse for it. The upload area becomes available only after an import method is selected.

  • After uploading your asset file, the tool will run an analysis and build the column mappings. The progress list shows each step (parsing workbook, profiling columns, picking outlier rows, etc.), and the tool moves to the Review stage when it finishes.

Stage 2 - Review

  • At the top of the Review page, the TransformationSpec ready banner will display how many columns from the uploaded file have been mapped in the Column mappings section, including how many need review. The banner also shows how many rows are likely to flag with issues, these are listed at the bottom of the page in the Issues to review section.

  • First, review the Column mappings table to confirm that each source column is mapped correctly.
  • To correct a mapping, select a different field from the Target field dropdown. To leave a column out of the export, select Don't include. The preview updates as soon as a mapping changes.

ColumnDescription
Source columnThe column header from the uploaded file.
Target fieldThe NetAsset asset field that the column is mapped to.
CleaningThe transformation applied to the values, for example:
  • Trim whitespace removes extra spaces from text.
  • Lookup table matches values to NetSuite lists such as Asset Types and Subsidiaries.
  • Parse date → ISO converts dates to a standard format.
  • Duration → years converts durations such as "7 years" into the value the target field expects (for example, 84 months).
ConfidenceHow certain the AI is about the mapping:
  • High (green): a confident match that is likely correct.
  • Medium (yellow): review is recommended.
  • Low (red): may be incorrect; verify carefully.
Raw → cleaned sampleA before-and-after example from the first row, used to verify that the transformation works as expected.
  • Then scroll down to review the Sample (20 rows) table. Use the raw/transformed toggle to compare the original values with the cleaned values.

4. After reviewing the Sample (20 rows) table, scroll down to the Issues to review section. It lists rows with values that are missing or that could not be matched. Review and resolve these issues before proceeding.

5. Optionally, expand What AI decided to see the full mapping specification.

6. After reviewing each section, click Apply to all rows.

Stage 3 - Apply

After the Review stage is complete, within the Apply stage choose one of the following options:

  • Download the CSV: Click the download button to save the mapped assets CSV. If any rows have issues, the CSV starts with an Issues to review column. Sort or filter on this column in Excel to fix the data in bulk, then import the file through the Data Import Wizard.
  • Continue in Data Import Wizard: Click Continue in Data Import Wizard. The wizard opens in a new tab with the data already loaded:
    • If rows need attention, the wizard opens on the Select Data step with those rows highlighted, so they can be fixed or skipped there.
    • If there are no issues, the wizard opens on the Review Operation step.

Recognized source systems

The Asset Import Converter automatically recognizes files exported from the following systems:

  • NetSuite Fixed Asset Management (FAM)
  • Sage Fixed Assets
  • Sage Fixed Assets tax register

For a recognized file, columns are mapped from a predefined template instead of being identified by AI. List values such as Asset Type, Subsidiary, and Depreciation Method are still matched against the account. Files from other systems are mapped by AI.

Limitations / callouts

  • Depreciation reports: If the file looks like a depreciation report rather than an asset list, rows are extracted on a best-effort basis. Grouping and subtotal rows may appear as flagged issues. For the most reliable results, re-export the asset list itself from the source system.
  • Progress is not saved: Leaving the page before export discards the session, and the file must be uploaded again.

Troubleshooting

IssueResolution
"The Data Import Wizard URL is not available"Confirm that the Data Import Wizard is deployed, then reload the page. As a workaround, download the CSV and import it manually.
Rows are flagged for Asset Type or SubsidiaryThe value in the file does not match a record in NetSuite. Correct the value in the file or in the Data Import Wizard, or create the missing record.
The cutover period list shows "No accounting periods found"Confirm that accounting periods are set up in NetSuite.
