NetAsset - Linking Transaction to Create Assets Page

Overview

The Create Assets page runs off of an underlying saved search and the criteria on the saved search is what determines which transactions show in that list. Here are some instructions on what to check to determine what is causing the transaction to be excluded from the create assets page. If you are expecting a transaction to show in the list on the create assets page and it isn't, follow these steps to troubleshoot and determine what the issue is:

1. Check the asset type mapping & the G/L account on the transaction line

The G/L impact of the transaction needs to be a debit to a G/L account that is mapped as either the "Fixed Asset Clearing Account" or the "Construction in Progress Account" on an asset type.

To check which G/L account numbers qualify as "Fixed Asset Clearing Account" and Construction in progress Account" in your system, navigate to NetAsset > NetAsset Setup > Manage Asset Types & Mappings. Make sure the debit account on your transaction matches to one of the G/L accounts in the “Fixed Asset Clearing Account” and/or “Construction in Progress Account” columns on the asset types page.

If the transaction hits a CIP account, it will show in the NetAsset > Create New Assets > Create Assets from Proposals (CIP) page. If the transaction hits a fixed asset clearing account, it will show in the NetAsset > Create New Assets > Create Assets from Proposals (Clearing) page

2. Check the criteria of the underlying saved search

If you have verified the transaction is booked to an eligible account and it is still not showing in the create assets queue, then you will need to check to make sure it also matches the criteria of the saved search.

Navigate to NetAsset > NetAsset Setup > System Setup.

Under the General subtab, copy the name of the saved search under the "Create Assets Search" field, paste into your search bar, and click Edit.

Once in Edit mode, look under the Criteria Subtab and ensure your criteria looks as follows:

You will need to ensure that your transaction meets each criteria in that list:

  • The transaction must be posted
  • The amount cannot be $0
  • The NetAsset Asset body field must be blank
  • The NetAsset Asset custom column field must be blank
  • The transaction cannot be auto-reversing
  • There cannot be a reversal number
  • The NetAsset Ignore Proprosal Transaction custom body field must be unchecked
  • The NetAsset ignore proposal transaction line custom column field must be unchecked
  • The transaction cannot be one of the following transaction types:
    • Inventory Adjustment
    • Inventory Cost Revaluation
    • Inventory Count
    • Inventory Distribution
    • Inventory Transfer
    • Inventory Worksheet
    • Item Receipt
    • Item Fulfillment

If you are not able to find some of the above listed fields on the transactions, follow the next step to update the form to show the fields so you can verify the values.

If your saved search has additional criteria not shown above, that means you are using a custom saved search instead of the default one. You will need to make sure you check the transaction against the custom criteria as well as the criteria listed above from the default saved search.

3. Customize the transaction form to show all relevant fields

If you are not able to find NetAsset Asset body or NetAsset Ignore Proposal Transaction on the form, you will need to customize the form to show the fields so you can check to make sure they are blank. To show those fields, follow these steps:

In the top right corner of the transaction click Customize > Customize Form.

Under the Screen Fields subtab click on the Custom sublist. Find NetAsset Asset (Body). Check the box in the Show column to show that field on the form. Do the same for NetAsset Ignore Proposal Transaction.

If you plan to use items instead of expenses, you will need to ensure the proper fields are showing on the form. To do this, click on the Sublist Fields subtab and ensure both fields are exposed there.

Next, click on the Expenses sublist under the Screen Fields subtab. Ensure NetAsset Asset and NetAsset Ignore Proposal Transaction Line are marked as Show.

Next, click on the Tabs subtab and check the box next to Custom to show the Custom subtab on the transaction form.

Save the form.

Now when you go back to your transaction, all the fields will be showing so you can check what the values are. All the NetAsset Asset fields need to be empty and all the NetAsset Ignore Proposal fields need to be unchecked. Make sure you check under expenses, items, and the Custom subtab.

4. Check to see if you are using a custom saved search

If you have done all that and the transaction is STILL not showing in the create assets queue, it is likely you are using a custom Create Assets Search and are not using the default one outlined above. You will need to make sure the transaction is not being excluded by any of your custom criteria.

If the transaction matches all the criteria on the create asset saved search and it is still not showing on the applicable Create Assets page, you can check the script deployment to see if the saved search has been overridden in your system.

To check this, navigate to NetAsset > NetAsset Setup > System Setup > System Features > Create Assets (from Clearing) and Create Assets (from CIP).

Click on the Parameters subtab.

Check the Override Global Create Assets Search (Selection Page) field to see if there is a saved search listed there. If there is a saved search listed there, then you will need to check the transaction against the criteria in that override saved search to make sure it is not being excluded by the override criteria.

Final Steps

If you have performed all the checks above and are still not able to identify which criteria is excluding the transaction from the Create Assets page, ensure you are on the latest version of the NetAsset bundle and reperform the test.
