NetClose - Refresh Flux Balances and Real-Time Updates
Overview
When new transactions are posted to the general ledger during or after a Flux Analysis, the balances that NetClose relies on may change. NetClose handles this in two ways: automatic nightly refreshes and an optional Real-Time Flux Balances setting that keeps balances current as transactions are recorded.
Real-Time Flux Balances
By default, NetClose refreshes Flux Analysis balances on a nightly schedule. If your team posts transactions frequently and needs up-to-date balances without waiting for the overnight refresh, you can enable Real-Time Flux Balances.
To enable this, navigate to NetClose > Setup > System Setup > System Features > Real Time Flux Balances.
When enabled, the Flux Analysis pop-up will display two sets of balances:
- Record Balance — The balance stored on the underlying NetSuite Flux Analysis record, updated by the NetClose Flux Refresh Balances script.
- Real-Time Balance — The live GL balance, updated immediately as transactions are recorded.
If a discrepancy exists between the two, it means transactions have been posted since the last time the Flux Refresh Balances script ran. The two balances will align the next time the script executes.
How to Refresh a Flux Analysis Manually
In addition to the nightly refresh, users can manually trigger a balance refresh at any time:
- Go to NetClose > Flux Analysis > Refresh Flux Balances.
- On the Refresh Flux Balances page, use the available filters to locate the desired flux scenario.
- Select the scenario and click Submit to refresh its balances.
Balance Changes
If users manually refresh balances and the balance has changed since the last refresh, NetClose will display a message like the below:
If balances have changed when the nightly script runs, users can review any changes on the Review Flux Analysis page.
- For any flux analyses that were Submitted for Review or Completed, the status will change to Not Started
- The preparer and reviewer(s) will receive an email notification
- The flux table UI will indicate that the balance has changed with a yellow triangle icon, as shown below
- Users can also filter for flux analysis records that had their balance change using the quick filter
